Templates are reusable blueprints for your common processes. You define the steps once — with task types, assignee types, descriptions, and order — and then run that blueprint as many times as you like with different clients, vendors, or team members. Each run creates an independent flow with its own participants and timeline.
Think of a template as a recipe and a flow as the meal you cook from it. You can tweak the flow after creation without touching the original template.
Browse community-built and Booflow-curated templates at /templates. The marketplace includes ready-to-use templates for client onboarding, vendor contracts, compliance audits, hiring pipelines, and more. Click Use Template on any marketplace template to copy it directly into your workspace — you can then customise it freely without affecting the original.
Every new workspace comes pre-loaded with five templates to get you running immediately.
Contract Signature
Collect and execute a contract with any external party. Includes NDA, review, signature via DocuSign, and a confirmation task.
New Hire Onboarding
Guide a new employee through paperwork, IT setup, training acknowledgements, and a 30-day check-in.
Vendor Evaluation
Run a structured vendor assessment: RFP collection, scoring, legal review, and final approval.
Client Project Kickoff
Set up a new client engagement with discovery, proposal approval, contract signing, and kickoff meeting tasks.
Design Review Cycle
Collaborate on a design deliverable: brief, concept upload, internal review, client feedback round, and final approval.
Go to Templates → New Template. Fill in the template name, a short description, and a category (e.g. Onboarding, Legal, Sales). Then add your steps — each step becomes a task when the template is instantiated.
Templates → New Template Name: "Software Vendor Evaluation" Description: "Evaluate and onboard a new software vendor" Category: Procurement Language: English Step 1 — "Initial RFP" type: FILE_UPLOAD assigneeType: EXTERNAL Step 2 — "Internal Scoring" type: MANUAL assigneeType: INTERNAL Step 3 — "Legal Review" type: APPROVAL assigneeType: INTERNAL Step 4 — "Contract Sign" type: SIGNATURE assigneeType: EXTERNAL
Each step in a template maps directly to the fields of the task that will be created from it. Steps are sorted by their order value, and sequential dependencies are created automatically — step 2 depends on step 1, step 3 depends on step 2, and so on.
name
The display name of the task that will be created.
type
Task type: MANUAL, FILE_UPLOAD, APPROVAL, SIGNATURE, MEETING, etc.
assigneeType
Who handles this step: INTERNAL (a workspace member), EXTERNAL (a participant), or SYSTEM (automated).
description
Instructions shown to the assignee when they open the task.
order
Integer (1, 2, 3...) that determines step sequence. Lower numbers run first.
config
Type-specific settings, e.g. DocuSign template ID for SIGNATURE tasks.
Templates have a language field (currently English and Spanish). When you create a flow from the template, the flow inherits that language setting. Booflow uses it to send localized notification emails to external participants — so a Spanish-language template sends your vendors or clients emails written in Spanish.
Templates you create are private to your organization by default — only workspace members can see or use them. Templates in the public marketplace are curated and published by the Booflow team. If you have a great template you'd like to share, contact us at templates@booflow.com and we'll review it for inclusion.
